What happens if I open up an order in change mode?
EXPLANATION:
In e-PIC, opening a Sales Order (SO) in Change Mode allows users to update specific elements of an order after it has already been created or submitted.

Price Rules:
In e-PIC, pricing is governed by time-bound price rules:
- Each price rule has:
- Start Date (the first day the price becomes active)
- End Date (the last day the price is active)
What Happens if I open up LINE ITEMS in Change Mode?
When you open an SO's line items in Change Mode, e-PIC:
- Re-evaluate pricing based on the current date
- Replace old prices with new active price rules
Example
- Original order date: March 1
- Price rule A: $10 (valid Jan 1 – March 31)
- Price rule B: $12 (valid April 1 – onward)
If you open the order in Change Mode on April 5:
- The system may update the price from $10 to $12
Prompt Options:
“Prompt options” (dropdown selections, required fields, or guided inputs during ordering) are also controlled by effective date ranges:
- Each prompt option can have:
- Start Date
- End Date
What Happens in Change Mode
When editing an SO's LINE ITEMS:
- Expired prompt options may:
- Disappear
- Become invalid
- Require replacement
- New prompt options may appear if they are now active
Example
- The Top-Down Bottom-Up Cordlock option is valid until June 30
- You reopen the order in July
- The Top-Down Bottom-Up Cordlock control type option may no longer be selectable, and you must now select a different control type.
Factors/Discounts:
In e-PIC One, a factor is basically a multiplier applied to a base price.
We use factors to:
- give specific customers better pricing
- override automatic pricing (like autoformulas)
- lock in agreed pricing
- Example:
- Base price = $100
- Factor = 0.90 → final price = $90 (10% discount)
- Factor = 1.10 → final price = $110 (10% markup)
So instead of storing discounts as percentages, the system uses price × factor.
Factor changes are NOT retroactive, meaning:
- Existing orders → usually keep the old pricing
- New orders → use the updated factor
This means that when you open an older SO in change mode, the factor will most likely NOT change.
As of 6/2/26 these customers will have updated factors. Factors have been changed to counteract the 15% tariff price update.

- 2742: Sunland - 10% TARIFF
Autoformula (Tariffs):
An autoformula is an automatic pricing rule, we use this to manage our tariff surcharges.
It can adjust pricing based on things like:
- tariffs
- cost changes
- market adjustments
Autoformulas go off of the ORDER DATE, not the CURRENT DATE.
As of 6/2, the autoformula will be completely gone from ALL new orders.
6.2.26 Tariff Update
We are expiring the autoformulas and increasing the price grids. The overall cost for the customer will remain the same. However, some customers should NOT receive this tariff change. So for those customers:
- We apply or adjust a factor
- The tariff autoformula will be removed for most customers, and for those customers their discount factor will remain the same.
- There are some customers who have the autoformula turned off already, and they did not get their discount factory adjusted (they are simply getting zero tariff surcharge, as it was already built into their price).
- Then there are some customers who will still get the tariff autoformula because they don't want to built the tariff into their retail pricing, and so they will get the autoformula plus a special discount factor to lower their retail pricing.
It is important to keep in mind that the factor will not automatically update on PREEXISTING orders (prior to 6.2.26).
Example:
- A Sales Order (SO) is submitted on 6/1
- At that time, a tariff autoformula is active, so it increases the price
Because the order was created on 6/1, the tariff is applied and locked in
- The SO will keep the tariff pricing
- This is true even after the change on 6/2
If we open the order in change mode, the factor and pricing all remains the same.
The pricing will only update if the system is forced to recalculate by going into change mode on the LINE ITEM, such as:
- Re-entering or editing the item line
- Deleting and re-adding the item
- Manually updating the factor or price
At that point, the system will:
- Re-evaluate pricing using current rules (6/2 rules)
- The tariff autoformula would still apply since the order is dated 6/1, and it would calculate based on the new 6/2 pricing. Depending on the change (non-price related change such as component color), we would want to use the Edit History to manually override the pricing to what it was. This would also automatically update the Tariff auto formula to what it was.
Tariff-related pricing updates can be applied by copying the existing order and generating a new quote. To reflect the most current pricing, we recommend copying the order in E-PIC before proceeding.

Pricing is set at the time the order is entered. Since this order was placed before the update, it kept the original pricing. New orders reflect the updated pricing. Please copy your order to ensure that the information updates.
If customer asks why a newer order is more expensive
I understand the confusion — pricing changed after your original order was placed. Orders keep the pricing from the date they’re created, so newer orders may reflect those updates. With this tariff pricing update, the tariff surcharge is now built into the order, instead of being added on after. Importantly, your net costs will not change as a result of this pricing update.
If customer is exempt from tariff (factor override situation)
Your account has special pricing that overrides the standard tariff adjustment, so your pricing is calculated differently from the default. To ensure current tariff pricing is applied, please copy and resubmit the order for an updated quote.
If customer SHOULD have updated pricing (and you need to fix it)
It looks like this order still has the original pricing. I can review and update it based on the current pricing rules for you.
